Summary

Reporting to the Assistant Director of Visitor Engagement, the Assistant Manager is responsible for overseeing Visitor Engagement operations, staff, and projects for the museum. The Assistant Manager works both independently and collaboratively with the Assistant Director to ensure a positive visitor experience, excellent customer service, and highly effective logistics for public participation in exhibitions, programs, and events across a multipurpose campus. The Assistant Manager of VE will function as the Assistant Directorof VE in her/his absence. This position requires strong organizational and management skills.

Supervision

The Assistant Manager of Visitor Engagement reports to the Assistant Director of Visitor Engagement. The Assistant Manager supervises a staff of full-time Visitor Engagement Associates and part-time Gallery Associates.

Executive Assistant for Administration

The Assistant for Administration works in a creative and fast-paced environment supporting the daily work of the Deputy Director. Responsibilities include prioritizing and scheduling the Deputy Director’s time with calendaring, presentations preparation, special projects, including preparation materials and coordination of board committee and board working group meetings, and monthly reconciliations. Additionally, the Assistant for Administration works collaborative with the Special Projects Coordinator & Executive Assistant, in the Director’s Office, to ensure clear, timely communication between both departments, and across the museum; prepares and submits monthly and annual compliance reports, and assists with onboarding of new employee IT needs.

Director of Finance

The Director of Finance is responsible for ensuring organizational effectiveness and accountability by supporting PS1’s accounting and financial functions, ensuring that the institution’s financial records are maintained in compliance with museum policies and GAAP. The Director of Finance partners with the Deputy Director to oversee the overall financial management, planning, systems and controls for PS1. The ideal candidate will have the ability to communicate clearly and successfully juggle multiple priorities in a fast-paced environment. He/she/they are responsive and adapt quickly to change, embracing challenges and championing the advancement of financial planning tools, systems, controls and analyses.

The Director of Finance’s main responsibilities include the oversight and day-to-day management of all accounting activities including: accounts payable; accounts receivables; cash management; preparing, reviewing and posting journal entries; reconciling balance sheet, bank, and investment accounts; and bi-weekly payroll. The Director of Finance leverages the accounting systems and develops, analyzes, and presents monthly financial reports in an accurate and timely manner to department heads, senior leadership and The Board of Trustees. The Director of Finance also develops and tracks the museum’s annual budget, monitors the institution’s financial status and health, and communicates with senior leadership about trends, changes, and recommendations. The ideal candidate will be a dynamic leader and have an ability to adjust financial plans and expectations as the museum’s priorities shift.

Director of Program Production

PS1 is seeking an experienced, dynamic Director of Program Production to oversee the implementation of all the Museum’s public-facing activities. Working with a full-time team of seven (7) and seasonal staff, the Director of Program Production leads the planning, design, and implementation of all exhibitions, commissions, activations, performances, and learning initiatives, including reviewing and negotiating contracts and related agreements, as well as managing timelines and deliverables. Overseeing a departmental budget of around $1MM, the Director of Program Production will work closely with artists, guest curators, and the Curatorial, Communications, Development, Visitor Engagement, Strategic Partnerships, Finance, and Operations teams at PS1, to ensure the 50,000-square foot, non-traditional, indoor programming spaces—along with the Courtyard and Plaza—provide the engaging and inclusive campus that PS1 is championed for.

External Affairs Assistant

MoMA PS1 is seeking an External Affairs Assistant to support the core administrative functions of the External Affairs team, with a focus on supporting Development activities. The Assistant will be responsible for all aspects of gift processing, reporting, and data entry, and will provide critical support for communications with donors at every level, research to help expand PS1’s community of supporters, and planning for a wide range of events—from press previews and community programs to intimate donor cultivation events and meetings of the Board of Directors.

As an integral member of the External Affairs team, made up of communications and development staff working holistically to engage donors, key constituents, and the general public with PS1 and our programming, the Assistant will develop a detailed understanding of fundraising practices and processes at PS1, and will also work closely and collaboratively with peer departments at The Museum of Modern Art (MoMA).

Manager of Individual Giving

The Manager of Individual Giving is an essential member of PS1’s External Affairs team—made up of communications and development staff working holistically to engage donors, key constituents, and the general public with PS1 and our programming. This new role is an opportunity for a candidate who has the vision to think creatively to build distinctive donor programs that reflect the artist-centric, experimental DNA of the institution, and embrace new strategies in supporting artists and communities.

The Manager will work collaboratively to create new pathways for individual donors, and to conceptualize, plan, and execute on-site and off-site donor events. This position has direct interaction with donors and provides critical support to building and maintaining donor relationships.
A core element of this work will be the development of consistent and creative programming for the newly-launched Greater New Yorkers donor group, as well as exhibition openings, private donor tours and cultivation events, and PS1’s major annual spring benefit. Key to the role is an intrinsic understanding of NYC cultural life, and familiarity with social justice and community engagement practices.

Under the guidance of the Director of Individual Giving, the Manager will develop a detailed understanding of individual fundraising at PS1 and contribute in a significant way to cultivation, stewardship, and the development of programs to attract and retain new supporters and build new fundraising channels to support the evolution of the organization. The Manager will also support work with the PS1 Board of Trustees and other community partners and stakeholders, and work closely with peer departments within The Museum of Modern Art (MoMA).
