The Finance team at Queens Botanical Garden is looking for a motivated individual who is flexible, eager to learn, detail oriented and willing to work independently. Working closely with all department heads, the Fiscal Associate plays a key role in the smooth operation of the day to day finance functions of the Garden.
Reporting to the General Counsel and COO, the Senior Director of Finance is the principal financial steward of the long-term fiscal health and viability of the Museum. As the principal financial officer of the Museum, the Senior Director of Finance has primary responsibility to provide strategic financial guidance and planning, treasury and investment management, and financial reporting and analytics to the Museum’s leadership and staff, to oversee the development of the annual operating budget and monitor actual results against the budget, and to manage the Museum’s investment, banking and institutional financing relationships. The Senior Director of Finance also supervises and supports the work of the museum’s controller in overseeing daily, monthly, and annual accounting processes.
This role oversees the Museum’s accounting operations, including the quarterly close process, annual financial reports, annual audit process, ongoing maintenance of an adequate system of accounting records, and a comprehensive set of controls to mitigate risk. This role is unlike that of a typical controller as the Brooklyn Museum Finance team is undergoing a period of transformation, including significant changes to the chart of accounts and system upgrades to support a more automated process. Teams that support the Museum’s critical infrastructure are rapidly evolving ahead of our two hundredth anniversary and as we kick off major capital projects over the next several years. This is a key role to help develop new processes, coach a team of accountants, and have meaningful access to senior leadership. This role will manage a team of senior accountants.
A typical day for this role might include meeting about our chart of accounts with external CRM partner Tessitura, meeting with our external auditors about annual audit timelines, reviewing accounting entries in preparation for quarterly close, attending the weekly Museum directors meeting, and discussing the annual inventory audit with the Director of Merchandising.
The Finance Analyst assists the Finance team with a variety of budgeting, financial planning, accounting, and administrative tasks. Initial responsibilities include processing business transactions, verifying accuracy of documents, and maintaining financial records. In addition, the analyst will support strategic analysis and critical team functions such as the annual audit, as well as institution-wide initiatives such as the annual budgeting process. The Finance Analyst assists the Finance team with a variety of accounting, budgeting, and administrative tasks. The analyst’s responsibilities include processing business transactions, verifying accuracy of invoices and other accounting documents, and maintaining financial records. In addition, the analyst supports activities and training related to ensuring expenses fall within approved budgets. The analyst performs front office duties and supports the team on important ad-hoc financial projects, including the annual audit. An ideal candidate will be familiar with budgeting and accounting procedures and systems, have accuracy and attention to detail, and be well organized and customer-focused.
Qualifications:
Familiarity with Microsoft Office, especially Excel, and Google Suite
Familiarity with mid-level accounting systems
Experience with Abila MIP, Concur, and/or Vena a plus
Museum/cultural non-profit experience a plus

Responsibilities:
Enter accounts receivable and payable data on a daily basis
Assist with the management of credit cards programs, purchase requests, and payment requests through Concur Expense
Support team with periodic trainings related to finance software
Manage new vendor review and maintenance of vendor master file
Provide assistance in the preparation of annual budgets and budget forecasts
Support verification of budget coding for hiring and purchases and implement re-codes as needed and approved
Assist in maintenance of electronic and other filing system
Assist with documentation and schedules needed to support donor-restricted funds
Verify accuracy of invoices and other accounting documents
Perform front desk duties, including greeting guests, distributing daily mail and deliveries, ordering office supplies, and directing visitors and phone calls to the appropriate person
Help team members prepare for meetings and/or presentations
Assist on ad-hoc projects

The Director of Finance is responsible for ensuring organizational effectiveness and accountability by supporting PS1’s accounting and financial functions, ensuring that the institution’s financial records are maintained in compliance with museum policies and GAAP. The Director of Finance partners with the Deputy Director to oversee the overall financial management, planning, systems and controls for PS1. The ideal candidate will have the ability to communicate clearly and successfully juggle multiple priorities in a fast-paced environment. He/she/they are responsive and adapt quickly to change, embracing challenges and championing the advancement of financial planning tools, systems, controls and analyses.
The Director of Finance’s main responsibilities include the oversight and day-to-day management of all accounting activities including: accounts payable; accounts receivables; cash management; preparing, reviewing and posting journal entries; reconciling balance sheet, bank, and investment accounts; and bi-weekly payroll. The Director of Finance leverages the accounting systems and develops, analyzes, and presents monthly financial reports in an accurate and timely manner to department heads, senior leadership and The Board of Trustees. The Director of Finance also develops and tracks the museum’s annual budget, monitors the institution’s financial status and health, and communicates with senior leadership about trends, changes, and recommendations. The ideal candidate will be a dynamic leader and have an ability to adjust financial plans and expectations as the museum’s priorities shift.
